Job Summary:
Ensure the Projects are delivered on time, within budget and to a high quality standard. Manage relationships with the client and main contractor as well as with all sub contractors including the Archimedia Project Management team. Ensure coordination, delivery and installations of elements are installed in line with the project program.
Job Duties and Responsibilities:
Project Initiation & Planning
- Ensure that the project design documentation prepared by our design team including positional drawings, SLDs, schematics, elevations, and the scope of work is completed on time and properly saved in the shared folder, with all revisions clearly marked by date and revision number to develop a comprehensive planning / execution strategy
- Develop comprehensive project execution plans including timelines, milestones, resource requirements, deliverables, and risk mitigation strategies across all phases of the project lifecycle
- Define and manage project dependencies and critical paths
- Estimate resources and participants needed to achieve project goals
- Identify required internal resources and assign individual responsibilities.
- Contribute to the continuous improvement of project management processes, templates, and workflows
Team & Resource Management
- Lead and manage project teams including project coordinators, site supervisors, technicians, and third-party contractors
- Delegate tasks and responsibilities appropriately and monitor execution.
- Manage the project coordinators and cascade project tasks from the Master Project Plan.
- Leverage past experience to provide technical guidance and recommend alternative solutions for overcoming site constraints, design challenges, product availability issues, and integration
- concerns in coordination with the design, installation, and programming teams
- Identify and resolve issues and conflicts within the project team
Communication & Coordination
- Coordinate with internal teams (design, procurement, finance, programming, commissioning) and external stakeholders (consultants, MEP contractors, interior designers, clients).
- Conduct regular internal and external project meetings to communicate progress, set expectations, and resolve issues.
- Review of deliverables prepared by team members before submission to clients.
- Submit weekly Project Status Reports to operations management.
- Send progress reports to clients/ contractors monthly during rough-in and trim phases, or weekly as required.
Procurement & Submittals
- Coordinate and follow up on all material/sample submittals, MIRs, and WIRs to ensure timely approvals.
- Monitor procurement schedules, delivery tracking, and ensure alignment with project timelines
Execution & Site Management
- Supervise site readiness, monitor installation progress, and ensure compliance with the installation method of statements and safety protocols.
- Ensure high-quality standards are maintained in both execution and documentation.
- Proactively identify risks during execution and implement mitigation strategies
Project Controls & Documentation
- Maintain comprehensive project documentation including:
- Approved material/sample submittals
- Delivery schedules and signed delivery notes
- Inspection approvals (MIRs/WIRs)
- Variation orders and approvals
- Meeting minutes and weekly progress reports
- Project close-out documentation
- Use AIMS (or similar platforms) to manage workflows, track project activities, and update project data
Change & Variation Management
- Oversee project scope and timeline adjustments, ensuring all variations are documented, approved, and communicated through official channels.
- Monitor and track commercial variations and their impact on project budgets
Financial & Commercial Management
- Monitor project budgets and ensure cost control throughout the project lifecycle.
- Ensure timely project invoicing aligned with work progress, delivery, and handover milestones
Compliance & Standards
- Ensure all project activities comply with Archimedia’s standards and industry codes of practice
Project Closure & Handover
- Lead project completion and handover processes, ensuring client satisfaction and complete documentation submission.
- Plan, create, and execute final testing, commissioning, and training sessions for clients and end-users
Qualifications:
- More than 5 years of experience in the same field.
- BA of Engineering, PMP is preferable.
- Familiar with construction practices, electrical drawings, and onsite coordination
- Excellent communication and stakeholder management skills.
- Proficiency with project management tools (e.g., Wrike, MS Project, or similar).
- Basic knowledge of audiovisual and automation technology integration.
- A track record showing a high degree of customer service orientation.
- Self motivated with a technical aptitude to learn through training programs and work accordingly.
- Strong command of Microsoft Office programs, including Word, Excel, PowerPoint, Microsoft Project.
- A passionate interest in music or movies is preferred.
- Strong command of written and spoken English.
